Why Is the Relationship Between Assessments and Activity Types Important?

Assessments must be associated with activity types to appear in a client profile. Without this association, assessments will not be available in the New Activity pop-up and cannot be administered to clients.

Understanding Nested Folder Logic: Activity Types and Activity Groups

Activity types and activity groups work like a nested folder system, enabling better organization and management of assessments. Here’s how it works:

  • Activity Group: Represents broad categories like face-to-face or telephone encounters.
  • Activity Type: Specific categorizations within an activity group (e.g., initial consultation, follow-up session).
  • Assessment: Must be linked to at least one activity type. Assessments can appear in multiple activity types and programs.

Setting Up Assessments in the New Activity Pop-Up

Follow these steps to make assessments available in the New Activity pop-up:

Step 1: Add the Assessment to Relevant Programs

  1. Navigate to the Assessment in Setup and select Programs.
  2. Select the program where you want to add the assessment.

Step 2: Link the Assessment to Activity Types

  1. Navigate to Field Values Program in the Setup Menu.
  2. Select the Program. (These steps must be repeated for each Program the assessment is available).
  3. Locate and select Activity Type.
  4. Choose the activity types where the assessment should be accessible.
  5. Select the Assessment button for each Activity type chosen. Select New.
  6. Check the box next to the Assessment.
  7. Select Add.

Repeat these steps for each program and activity type where the assessment should appear.

Viewing Assessments in the System

You can view the relationship between assessments and activity types in two ways:

View by Activity Type

  • See all assessments associated with a specific activity type, providing a grouped view.

View by Assessment

  • Identify the activity types linked to a specific assessment across programs, allowing you to track its usage.
